Getting Started

Logging In

To begin using Work Syncer, download and install the app from your preferred app store. Once installed, follow these steps:

  • Open the Work Syncer app.

  • Log in using your CRM credentials.

  • User Role Assignment:

  • If you're an admin in the CRM, you’ll be assigned the admin role in Work Syncer.

  • All other users from your CRM account will be automatically added to Work Syncer as workers.

User Roles

Work Syncer defines two types of users:

  • Admin: Has full access to all features, including project creation, time tracking, budget management, and task scheduling.

  • Worker: Limited access, primarily to view and record time on assigned projects.

Admin User Features

Adding and Managing Projects

As an admin, you can create and manage projects within Work Syncer. Here's how:

  • Navigate to the Project section on the home screen.

  • Click "Add Project" to create a new project.

  • Choose the Project Type:

  • Lump Sum: Fixed price project.

  • Time and Material: Project billed based on time and materials used.

  • Overhead (Internal): Internal projects not billed to clients.

  • Enter Project Details: Provide necessary details like project name, description, start and end dates, and budget or contract price.

  • Save the Project: Once saved, you can manage the project by clicking into it.

Recording Time

Admins can record time against any project by following these steps:

  • Select a Project from the list.

  • Navigate to the Timesheet section within the project.

  • Enter Time Entries: Input the date, hours worked, and any notes related to the task.

  • Save the Entry: This time will be reflected in the project’s budget and profitability calculations.

Managing Budgets and Expenses

To keep track of budgets and expenses:

  • Open a Project from the project list.

  • Go to the Budget/Expense section.

  • Enter Budget Information: Include contract price, allocated budgets, etc.

  • Log Expenses: Take photos of receipts and log expenses as they occur, categorizing them as necessary.

  • View and Adjust: Keep track of the remaining budget and make adjustments as needed.

Tracking Project Profitability

Project profitability is crucial for ensuring that projects stay on track. Work Syncer provides a profitability overview based on:

  • Budgets and Contract Prices: Entered during project setup.

  • Recorded and Projected Hours and Expenses: Admins can input expected hours and expenses to complete the project.

  • Profitability Overview: The app calculates profitability by comparing the contract price/budget against the actual and projected costs.

Creating and Managing Tasks

Tasks help break down the project into manageable pieces. To create and manage tasks:

  • Select a Project from the list.

  • Navigate to the Tasks section.

  • Add a New Task: Input task details such as name, description, start date, and completion date.

  • View Tasks: Tasks can be viewed as cards for quick reference or in a Gantt Chart view to see their flow over time.

Worker User Features

Viewing and Recording Time

As a worker, your primary function in Work Syncer is to record time against your assigned projects:

  • Open the Timesheet section from the home screen.

  • Select the Project you're working on.

  • Enter Time: Input the date, hours worked, and any relevant notes.

  • Save the Entry: Your recorded time will automatically update the project details.

Settings

Account Settings

Admins and workers have access to basic account settings:

  • Navigate to the Settings page from the home screen.

  • Update Profile: Change your profile information such as name, email, and password.

  • Manage Notifications: Customize how you receive notifications from the app.

Logging Out

To log out of Work Syncer:

  • Go to the Settings page.

  • Click on "Logout" to safely exit the app.
